Job Duties
As an Incarcerated Records Coordinator 1, you would perform any number of the following duties: training and supervision of subordinate staff; receiving and discharging of incarcerated individuals; maintaining official records of incarcerated individuals' commitment and sentence, transfer, or release; maintaining custody of incarcerated individual property; preparing reports; scheduling and recording results of Parole Board hearings; arranging and scheduling incarcerated individual movement; acting on warrants from various jurisdictions on incarcerated individuals currently in custody; assisting and advising management in various areas related to incarcerated individual records; computing incarcerated individual time in accordance with sentences on commitment and subsequent decisions affecting incarcerated individual time; and compiling data for the Attorney General's Office on behalf of the department in relation to defense of departmental employees. You might be required to testify in state or local courts on behalf of state employees or as a witness on behalf of incarcerated individuals or incarcerated individual advocates. Incarcerated Records Coordinator 2 positions are generally located in facilities with large incarcerated individual population and/or a specialized mission or program.

Summary of Minimum Qualifications

You must take and pass a Civil Service examination in order to be considered for this position.
On or before the date of the examination, you must be a qualified employee of the New York State Department of Corrections and Community Supervision and have had three months of permanent competitive, non-competitive NY HELPS*, or 55-b/55-c service as shown below. If you have received a permanent appointment to a qualifying title listed and served provisionally** in that title immediately preceding your permanent appointment, such provisional service may be counted towards meeting the time in title required for this examination.
Either 1. in an office assistant, clerical, or keyboarding title allocated to Grade 9 or higher, or as an Offender Rehabilitation Aide, Offender Rehabilitation Aide (Spanish Language), Program Aide, or Program Aide (Spanish Language);
Or
2. as an Office Assistant 1 (Keyboarding).
***Due to the August 21, 2025 title structure change, permanent competitive, non-competitive NY HELPS or 55-b/55-c service as an Inmate Records Coordinator 1 is also qualifying.
