Upon successful completion of 12 months as Admnv Assistant Trainee 2, you will automatically advance to Admnv Assistant 1.

Note on Traineeships: When current State employees with prior graded State service transition into traineeships, there will be cases where these individuals will be compensated at a higher rate than the hiring rate of the "equated salary grade" of a traineeship. Specifically, in these cases, the starting compensation of a traineeship will be the higher of either: 1) the hiring rate of the "equated salary grade;" or 2) an employee's current graded salary. For those current State employees with no prior graded service who transition into traineeships, these individuals will be compensated at the hiring rate of the "equated salary grade." Overall, because of the various intricacies associated with the State's salary mechanics, the Office of the State Comptroller should be consulted regarding the actual compensation paid to any State employee transiting to a traineeship.

Summary of Job Description

As an Administrative Assistant Trainee 2, you would perform the duties of an Administrative Assistant 1 but at a more basic level.  You may assist in: establishing office procedures; designing filing systems; implementing policies and procedures; maintaining efficient work flow; resolving day-to-day operational problems; responding to phone calls; sorting mail; organize, expediting and following up on projects; and coordinating information flow by acting as liaison among executives, staff, other employees and the public.  
Trainees will receive a combination of structured training, on-the-job training, and/or practical job performance to gain the knowledge and experience necessary to function at the full performance level.

Coursework Requirements: During the course of the traineeship, trainees must complete coursework in mandatory and elective areas.  

Mandatory Coursework: trainees must complete the following core courses: Microsoft Word Basics; Customer Service; Organized Office Worker; and Successful Business Writing.
Elective Coursework: In addition to the mandatory courses, trainees must also complete an additional 4 elective courses in the following competencies: Professionalism & Self-Management, Verbal & Written Communication, Interpersonal & Customer Relations, and Computer Skills & Technology. Agencies will determine acceptable elective coursework for the position being filled.

The elective coursework requirements are generally completed while serving as an Administrative Assistant Trainee 2.  All mandatory and elective coursework requirements must be completed before completing the traineeship and advancing to Administrative Assistant 1.

Summary of Minimum Qualifications

There is no examination currently connected with this title.  It is expected that most competitive appointments will be made through trainee advancement or voluntary transfer.  

Trainee Advancement: You may advance from Administrative Assistant Trainee 1 to Administrative Trainee 2 if you have served at the Trainee 1 level for one year and have completed the mandatory core coursework requirements.  

Voluntary Transfer: To be eligible for transfer, you generally must have at least one year of permanent service in a qualifying title or titles.  In addition, you must have passed an appropriate keyboarding test and have met the mandatory coursework requirements.  Please contact the Career Mobility Office to discuss your transfer eligibility.    

Keyboarding Test:  Prior to appointment, you must have passed an appropriate keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.  You will not need to take this test if you have served in an appropriate keyboarding title.  

Coursework Requirements: Prior to appointment, you must have completed the four mandatory administrative courses- Microsoft Word Basics; Customer Service; Organized Office Worker; and Successful Business Writing.
